AML & KYC Policy
(Anti-Money Laundering & Know Your Customer)

This policy explains why StudySafe, and/or the relevant insurance or payment-related parties involved in a quotation, booking, onboarding, refund, or claims-related process, may request identity, verification, or supporting information. These checks help prevent fraud, money laundering, identity misuse, and other financial crime risks, and support compliance with legal, regulatory, contractual, and operational obligations.

1) What AML & KYC mean

  • AML (Anti-Money Laundering): legal, regulatory, and operational rules designed to help prevent criminal funds or suspicious activity from being disguised as legitimate transactions.
  • KYC (Know Your Customer): identity and verification checks used to confirm the legitimacy of a customer, payer, booking, refund request, transaction, or related activity.

2) When we may request verification

We, and/or the relevant insurer, intermediary, administrator, payment provider, or other authorised partner involved in the relevant route, may request AML/KYC information:

  • During the quotation, booking, or onboarding process
  • Before issuing documents, confirming cover, or completing certain transactions
  • When processing a cancellation or refund request
  • When handling a claim or claim-related payment where verification is required
  • If a transaction, payer, booking, document, or account is flagged for fraud prevention, compliance review, chargeback risk, sanctions screening, or other verification checks
  • Whenever required by law, regulation, payment rules, provider rules, or internal compliance procedures

3) What information we may request

Depending on the situation, we or the relevant authorised party may request information such as:

  • Proof of identity (for example, passport, national ID card, residence document, or other accepted identity document)
  • Proof of address (for example, an official letter, bank document, utility bill, or other acceptable address verification document where appropriate)
  • Payment verification (for example, limited evidence that the payment method, payer, or refund destination belongs to or is authorised by the relevant person)
  • Booking or transaction verification information needed to confirm the legitimacy of the booking, payer, beneficiary, or refund request
  • Additional information or documents reasonably necessary to meet legal, regulatory, fraud prevention, sanctions, or compliance requirements

We only seek information that is reasonably necessary for the relevant verification or compliance purpose.

4) How your information is used

AML/KYC information may be used to:

  • Verify identity, authority, and transaction legitimacy
  • Support fraud prevention, account protection, and financial crime checks
  • Meet legal, regulatory, contractual, and compliance obligations
  • Maintain records required by law, regulation, audit, chargeback handling, or operational controls
  • Review suspicious, inconsistent, or incomplete transactions or requests

We do not use AML/KYC documents for marketing purposes.

5) Who we share AML/KYC information with

AML/KYC information may be shared, where necessary, with:

  • The relevant insurer, underwriter, intermediary, administrator, policyholder, or authorised insurance partner involved in the product or route
  • Relevant payment providers, fraud prevention providers, screening providers, or service providers involved in verification or transaction handling
  • Claims handlers, refund handlers, chargeback support teams, or other authorised operational providers where required
  • Regulators, supervisory authorities, law enforcement, courts, or official bodies where legally required

We only share AML/KYC information where it is reasonably necessary for the relevant purpose and subject to applicable legal, contractual, or operational safeguards where appropriate.

6) What happens if you don’t provide the requested information

If requested AML/KYC or verification information is not provided, or cannot be satisfactorily verified, we or the relevant authorised party may be unable to:

  • Complete or continue your booking or onboarding process
  • Issue or confirm documents
  • Process a cancellation, refund, or payment release
  • Progress a claim or claims-related payment
  • Continue with a flagged or suspicious transaction or request

In some cases, the booking, payment, refund, or request may be delayed, declined, suspended, or cancelled where verification cannot be completed to the required standard.

7) How long we keep AML/KYC information

We retain AML/KYC and verification information only for as long as reasonably necessary to meet legal, regulatory, fraud prevention, chargeback, audit, record-keeping, and operational obligations. Retention periods may vary depending on the country, provider, product, and legal framework that applies to the relevant transaction or route.

8) Your privacy rights

AML/KYC data is processed in line with our Privacy Policy and, where relevant, may also be processed under the privacy notices of the relevant insurer, intermediary, administrator, payment provider, or other authorised third party involved in your route.
